If you the F6 button, you will be shown Change information for the record you are on, such as: who entered the record and when it was entered, who last updated the record and when it was last updated.

If you have never used the ResiDex Task Manager before, you may find our video tutorial helpful:

The Task Manager will increase your effectiveness at achieving your goals. Task Manager allows you to maintain a set of tasks for your Staff members, who can log in to see what tasks that they are assigned to do.

There are a number of benefits associated with using the Task Manager:

  1. Maintain an infinite set of tasks for all staff members.
  2. Multiple ways to view all open or closed tasks,
  3. Manage tasks associated with individuals such as Prospects, Residents, or Contacts
  4. Prioritize tasks that need to be completed.
  5. Report on completed Tasks
  6. Task Manager reports to record information such as; number of tasks completed by staff, by category, or both

Note: To Use Task Manager a user needs Staff Role 71 - Task Manager

To Open the Task Manager

To get to the Task Manager Screen:

  • Use the Keyboard Shortcut (Control + Shift + F12)

 OR

  • From the Help menu option select Task Manager

To Add a New Task for a Prospect

  • Open the Prospect Profile
  • Click "Task Manager"
  • Click "New"
    • The Prospect Name will default into the "contact" field if they do NOT have a primary contact
    • Enter the "Optional" date and time for the task to be completed
    • Select an "Auto Task" - OR- select the Area and Task
    • Enter the Task details in the Task field
    • Press "Save" - located on the right side of the Task View Window
  • Repeat to enter all Prospect Tasks

 

To Add a New Task for a Resident

  • Open the Resident Profile
  • Click the "Tasks" button at the bottom screen
  • Click "New"
    • The Resident Name will default in
    • Enter the "Optional" date and time for the task to be completed
    • Select an "Auto Task" - OR- select the Area and Task
    • Enter the Task details in the Task field
    • Press "Save" - located on the right side of the Task View Window
  • Repeat to enter all Prospect Tasks

 

To Assign a task to a Staff Member

  • Start adding a new task or click on a current task
  • Select the Staff name from the staff Option List in the Task View Window

 

To be notified or notify a Staff Member of any notes or changes to a task

  • Start adding a new task or click on a current task
  • Select the Staff name or Your name from the Notify Option List in the Task View Window
    • When entering a new task for another staff member enter the Task AND a NOTE - this will flag it to show up on their "unread" task list

 

To Edit a Task Details

  • Click on the task from the Task List
  • Edit any of the fields in the Task View Window

 

To Edit Task Due Date

  • Click the task in the Task List
  • Edit the due date column or edit the date in the Task View
    • You can Double click on the field to view a calendar
    • You can use the keyboard keys + and - to advance or move back the day

To Search for a Particular Task

  • Enter key word(s) or task ID number in the Search Field
    • Be sure you select the Task status option to search All, Open, or Closed Tasks
    • Be sure you select the Staff task lists by selecting the staff member from the list or selecting All

To Use the Advanced Search

  • Click Advanced beside the search field
  • Select any item from the the drop down option fields - Resident, Contact, Task type, etc.
    • Be sure you select the Task status option to search All, Open, or Closed Tasks
    • Be sure you select the Staff task lists by selecting the staff member from the list or selecting All

To View task changes or new tasks entered for you

  • Click the Unread button
  • This will show new tasks for you or any tasks with a new comments or status change where you are selected as a staff member to notify
    • For a new task a to show up a Comment must be entered
